PARTICIPATION AGREEMENT

This Participation Agreement (“Agreement”) applies to all events organized by ALREADY THERE SRL through the meditationmaster.org platform, including online webinars, workshops, weekend retreats, and extended retreats (1-2 weeks).
By registering and participating in any MeditationMaster event, you confirm that you have read, understood, and fully accepted the terms below.

1. MEDICAL DISCLAIMER AND PERSONAL RESPONSIBILITY

1.1. The teachings, concepts, meditation techniques, and information provided by MeditationMaster facilitators (including Frațila Mircea, Nico Sabo, and any other collaborating facilitators) do not constitute and should not be interpreted as substitutes for medical or psychological evaluation, diagnosis, or treatment prescribed by a physician, psychologist, psychotherapist, or other licensed healthcare professional.
1.2. MeditationMaster does not prescribe medical or psychological treatments and does not recommend the use of any meditation technique as a form of treatment for physical, emotional, or mental issues, as an alternative to advice from a healthcare professional.
1.3. I hereby declare on my own responsibility that:
  • I am in a state of physical and psycho-emotional health that allows me to participate in the event;
  • I do not suffer from medical or psychological conditions that could be aggravated by intensive meditation practices or physical activities during the retreat (if applicable);
  • If I have pre-existing medical conditions, I have consulted my attending physician before registration;
  • I assume full responsibility for my own physical and psycho-emotional health during the event and afterwards.
1.4. If, at any time during the event, I experience intense physical or emotional discomfort, I agree to immediately inform the facilitators or organizers.

2. AUDIO, PHOTO, AND VIDEO RECORDINGS

2.1. Prohibition of recording by participants: I agree NOT to make any audio, photo, or video recordings during the work sessions of the event (whether online or physical) without the prior, express, and written consent of the organizer (ALREADY THERE SRL). This prohibition includes recordings made with mobile phones, photo cameras, video cameras, or any other electronic device.
2.2. Organizer’s right to record: I acknowledge that, during the event, the organizers will make audio and/or video recordings that may be used in various communication channels (website, social media, promotional materials, future courses, documentation) for educational, informational, and promotional purposes.
2.3. Image rights:
  • If you do not wish to appear in photo or video materials taken by the organizers, you are obligated to explicitly notify the organizing team upon your arrival and at the time of signing this agreement, or at any point during the event.
  • The organizers will take all reasonable measures to respect this request (e.g., avoiding including you in photo/video frames).
  • By simply participating in the event without making this express notification, you give your free and irrevocable consent for your image to be used in organizational materials, without requesting any financial or other compensation.
2.4. Intellectual property of recordings: All audio, photo, and video recordings made during the event are the exclusive property of ALREADY THERE SRL. Only some of these materials will be published (made publicly available), and the organizer holds full intellectual property rights over them. For practical and logistical reasons, individual requests to obtain such materials cannot be honored, unless the organizer has explicitly communicated otherwise.

3. INTELLECTUAL PROPERTY OF COURSE MATERIALS

3.1. All materials received during the event (presentations, audio guides, manuals, worksheets, meditation techniques, recordings provided to participants, etc.) are protected by Law 8/1996 on Copyright and Related Rights and are the exclusive property of ALREADY THERE SRL.
3.2. Materials are licensed to participants strictly for personal, non-commercial use. It is strictly prohibited to:
  • Distribute, copy, reproduce, or transmit materials to third parties;
  • Upload to public platforms (YouTube, file-sharing sites, social media);
  • Use for commercial purposes or to create derivative courses;
  • Resell or sublicense the materials.
3.3. Violation of these rights will result in civil and/or criminal liability under applicable law.

4. ORGANIZER’S RIGHT TO SUSPEND PARTICIPATION

4.1. If, at any time, the organizers or facilitators consider, based on their professional experience and judgment, that it is not in the participant’s or the group’s best interest to continue participating in the event (especially at intensive physical retreats), they have the right to request the participant to stop participating.
4.2. In this case:
  • For physical retreats: Costs will be recalculated, and the participant will be refunded the amounts corresponding to the days of non-participation (minus bank fees and costs already incurred for accommodation and meals);
  • For online events: No partial refunds will be granted, according to the Refund Policy;
  • The organizers’ decision is final and cannot be contested.

5. CONFIDENTIALITY OF GROUP EXPERIENCES

5.1. During events (especially physical retreats), participants may share personal experiences, vulnerabilities, and intimate transformation processes.
5.2. I agree to maintain absolute confidentiality regarding:
  • The identity of other participants;
  • Personal experiences, stories, and vulnerabilities shared by them;
  • Any personal information accidentally learned during the event.
5.3. I agree not to distribute, publish, or discuss in public spaces (including social media) the personal details of other participants, without their express prior consent.
5.4. This confidentiality obligation remains valid after the event ends, indefinitely.

6. BEHAVIOR AND MUTUAL RESPECT

6.1. I agree to maintain respectful, empathetic, and non-judgmental behavior towards facilitators, organizers, and other participants throughout the event.
6.2. It is strictly prohibited:
  • Any form of harassment, discrimination, aggressive behavior (verbal, physical, or emotional);
  • Deliberate disruption of meditation sessions or group activities;
  • Disregard for safety rules communicated by organizers;
  • Any behavior that may create an unsafe or uncomfortable environment for others.
6.3. Violation of these rules may result in immediate exclusion from the event, without refund, according to point 4.

7. PHYSICAL CONDITIONS AND ACTIVITIES (FOR PHYSICAL RETREATS)

7.1. Physical retreats may include moderate physical activities (nature walks, gentle yoga, breathing exercises, prolonged meditation postures).
7.2. I declare that:
  • I am physically fit to participate in these activities;
  • I will inform organizers of any physical limitations, food allergies, disabilities, or relevant medical conditions before the event begins;
  • I will respect my own pace and will not push physical limits beyond my personal comfort.
7.3. The organizer is not responsible for injuries resulting from failure to follow facilitators’ instructions or from misjudging one’s own physical limits.

8. PROHIBITION OF ALCOHOL AND SUBSTANCES

8.1. During the entire period of the event (especially physical retreats), consumption of alcohol and narcotic substances is strictly prohibited.
8.2. It is also prohibited to appear at the event under the influence of these substances.
8.3. Violation of this rule will result in immediate exclusion from the event, without refund, and, if applicable, reporting to the competent authorities.

9. RESPONSIBILITY FOR PERSONAL BELONGINGS

9.1. Participants are solely responsible for their personal belongings (money, documents, phones, equipment, jewelry, etc.) during the event.
9.2. ALREADY THERE SRL is not responsible for the loss, theft, damage, or destruction of participants’ personal belongings, regardless of the cause.
9.3. We recommend not bringing high-value items to retreats and ensuring your personal belongings through appropriate insurance policies.

10. PROGRAM CHANGES AND FORCE MAJEURE

10.1. The organizer reserves the right to modify the program, facilitators, or location of the event in exceptional circumstances (force majeure, extreme weather conditions, facilitator illness, venue issues, insufficient number of participants).
10.2. In case of force majeure (pandemics, natural disasters, government restrictions, etc.), the organizer will propose:
  • Rescheduling the event to a later date;
  • OR transforming the event into an online format (if possible);
  • OR issuing a voucher/credit according to the Refund Policy.
10.3. The organizer is not responsible for additional costs incurred by participants (flight tickets, external accommodation, etc.) in case of modifications or cancellations caused by force majeure.

11. ACCEPTANCE AND SIGNATURE

11.1. By completing the registration form and/or finalizing the order on the meditationmaster.org website, you confirm that:
  • You have read this Participation Agreement in full;
  • You have understood and accepted all the terms and conditions mentioned;
  • You assume the responsibilities described above;
  • You agree to the processing of your personal data according to the Privacy Policy.
11.2. This Agreement constitutes a legal contract between you and ALREADY THERE SRL and is governed by Romanian legislation.
11.3. Acceptance and On-Site Signature This Agreement constitutes a legal contract between you and ALREADY THERE SRL and is governed by Romanian legislation.
Important note for physical events: This Participation Agreement is to be signed physically, on paper, upon arrival and registration at the venue (check-in), before the first session begins. If you have special requests regarding your image rights (e.g., you do not wish to be photographed/filmed), please communicate them directly to the organizing team members at that moment, so we can properly protect your rights.
